THE OPPORTUNITY

In this newly created position, we are seeking a full-time Executive Assistant based at our Head Office on St Kilda Road. Reporting to the Chief Financial Officer (CFO), this role is accountable for assisting the CFO in addition to various Executive General Managers (EGMs) with general administrative, organisational, and office management duties. This includes but is not limited to:

  • Coordinating day-to-day arrangements and appointments for the CFO and EGMs.
  • Coordinating travel and related bookings for the CFO and EGMs.
  • Producing high quality correspondence, presentations, documentation, reports.
  • General office management activities such as onboarding, stationary, and facility issues and requests.
  • Preparation and coordination of meetings and events.
  • Ad hoc administration support for the CFO and EGMs.

WHO YOU ARE

Ideally we're looking for someone who has/is:

  • Two years’+ experience in a similar role.
  • Well-developed administrative skills.
  • Professional standard written and verbal communication skills.
  • Intermediate knowledge of the Microsoft Office Suite (e.g. Word, PowerPoint, Outlook).
  • Ability to build rapport quickly and easily with employees at all levels of the organisation. 
  • Proactive, self-motivated, and solution-focused.
  • Proven ability to effectively manage multiple tasks and conflicting priorities. 
  • Able to demonstrate confidence, tact, and diplomacy in relation to sensitive and confidential matters.
